Privacy Notice (KVKK)
Data controller: Koparan Uluslararası Nakliyat İth. İhr. ve Gümrükleme
Ltd. Şti., which owns the domain and the info@ mailbox. If your request
involves customs work, it is passed to Koparan Gümrük Müşavirliği, which is a separate
controller for its own processing.
What we record
When you send the quote form, all of the following is recorded. This list is kept identical to the fields the form software actually writes; if a field is added to the software, this notice cannot go live without being updated too.

Why we process it
We process your data for nothing other than assessing your request. It is not used for marketing and is not passed to any third-party form service. Which data rests on which legal ground is set out separately below.

We do not rely on your consent. The box on the form is not a consent; it records that you have read this notice. There is therefore no consent to withdraw, and you may ask us to delete your request at any time.
Who it goes to
Request records are kept on our own server, in a folder that is not reachable from outside. Beyond that it goes to three places:
- Our operations teams. For each request our teams receive a short email containing only the reference number and a link to the record; the content of your request is not written into the email. Our teams read the request on a password-protected page on our own server, and every view is logged.
- Our hosting provider. It is technically able to reach the data while maintaining the server; this is technical access in the capacity of a data processor.
- Koparan Gümrük Müşavirliği. If your request involves customs work, it is passed to that company.
It goes nowhere else. We use no third-party form service and run no advertising or analytics tool.
Transfer abroad
Your form records are not transferred abroad. They are kept on our hosting provider's server in Türkiye, and the notification email sent to our teams carries no personal data.
When we reply to you by email, that correspondence runs through our corporate email service, Microsoft 365, whose servers may be located abroad. If you prefer not to correspond by email, you can leave only your phone number on the form and we will call you back.
Retention and deletion
Retention period: request records that do not turn into a job are kept for 12 months and deleted once that period ends. If your request becomes a job, the documents belonging to that job are kept for the periods required by customs and commercial legislation; that is a separate retention from the form record. Deletion runs by itself: the form software removes monthly record files past their retention.
What is stored in your browser
This site uses no cookies and runs no third-party tool that tracks your
visit. One exception: after you send a request, your reference number and the
time you sent it are stored in your browser's own local storage
(localStorage). That record is never sent to us, never reaches our
server, and stays only on your device; clearing your browser data removes it.
Your rights
Under Article 11 of the KVKK you have the right to access your data, to ask for it to be corrected or deleted, to object to the processing, and to learn to whom it has been transferred.
Write to info@koparan.com; quoting your reference number helps us find the record faster. Under Article 13 your application is answered free of charge and within thirty days at the latest. If you find our answer inadequate, or we do not answer in time, Article 14 lets you complain to the Personal Data Protection Board.
Do you have to give us this data
No. Filling in the quote form is voluntary. But to be able to get back to you we need at least one contact detail and a description of your cargo; without them we cannot assess the request. No automated decision-making or profiling is carried out on your data.
